The Role

– Manage the schedule and coordinate meetings for CEO
– Coordinate multiple internal and external meetings involving senior leaders in the company and external resources, involving contact with nonprofit partners.
– Manage travel and prepare expense reports
– Manage all ofice processes, i.e. filing, business contacts, attendance records
– Manage processing the payment of departmental invoices
– Organize, prioritize, and direct general incoming information, requests, and queries (by email, fax, phone, and mail)
– Provide telephone support, with the ability to direct calls to appropriate resources
– Organize electronic and soft copy documents and communication that may require confidential treatment
– Provide clear verbal and written communications
– Assist with production and coordination of meeting briefs, presentations, updates, and reports that may require confidential treatment
– Assist with managing internal and external events (conferences, planning meetings, fundraisers, etc.)
– Manage day-to-day miscellaneous activities


– Excellent organizational skills
– Excellent written and verbal communication skills
– Must be able to multi-task with a keen eye to detail and handle heavy flow of incoming meeting requests and schedule coordination
– Ability to independently anticipate needs, plan for contingencies, manage concurrent tasks, prioritize tasks and follow-up
– Strong customer-centricity skills
– Ease with interacting professionally within and across teams
– Flexibility to move between competing priorities as needed/directed
– Calendar/schedule management
– Strong PC skills, including proficiency in Microsoft Office Suite: Outlook, PowerPoint, Word, Excel, and SharePoint, and internet skills
– Discretion in handling confidential materials/information
